Off-Site Backup (Web Backups)
If you're in business today chances are you have a number of sales documents, spreadsheets, quickbooks & accounting files, analysis documents, and picuters that you've accumulated over the years on your computer, laptop or server. If these were ever lost they would take lots of valuable time to replace if they are infact replacable. If you're already backing up your valuable files off-site, then great. You're a forward thinker. If not, why not and what should you do to get started?
Step 1 : Make the Commitment
We all know that regular backups are essential to minimize data loss and chances are you or someone you know has already lost a substancial amount of data. Statisticly, whether because of the time involved or sheer laziness, few people do it. Therefore, the first thing you should do is make a commitment to off-site backups.
You may already backup to a server, but it's a good idea to back that server up to our online system. "Why?" you might ask. Because if that server is stolen or you destroyed (say in a fire or water damage) you'll be glad you did. And it's inexpensive enough to justfiy easily. It's like a digital insurance policy.
Step 2 : Determine What to Backup
If you have a good computer guy determining what to backup should be easy. If they are smart they are going to put all the important files on a server or in one spot. Just set the backup to that directory. If not here are some files you might want to consider:
- Your web site
- Sales Documents
- 'My Documents' folder
- Browser Favorites
- Pictures, Video, Multimedia
- Configuration Files
- Working Files
- Source Files
- Documented Procedures
- Drivers
Step 3 : When to Backup
You should think about how often things change. If your files are valuable to you and change daily then a daily backup is the right move. Also, you might want to do a weekly and/or monthly backup to another spot. This way you can do a roll back of files for the week. If you don't use the files that often you can stick with a daily backup without the rollback options because they probably wont be effective.
